Paperless Management Systems are the talk of the moment. Everyone is fed up with the amount of paper that the average management system (Quality, Environmental, Occupational Health and Safety or Information Security Management) generates. There seems to be no end to the reports, the forms, the documented procedures and even the flow charts. It is a major evolution just keeping track of the bits of paper.
EQM Ltd has been developing paperless quality systems since 1995. Many different software programmes were tried and some had limited success. Many of them only succeeded due to the ingenuity of the consultant. Although all of our paperless systems achieved accreditation to the relevant standard that they were designed to comply with, at EQM Ltd we consider compliance to be the minimum standard, not the whole objective. When we tried to develop these early paperless systems beyond merely complying with the standard, it became apparent that the software could not support the greater functionality required for a truly paperless system. That is, up until now.
EQM Ltd has developed a partnership with Dolphin Software Limited (DSL) to make Paperless Management Systems a reality for our clients. Having met the DSL team and determined that their aims and goals for customer service are in line with our own, we set about evaluating the software to see if it could meet the exacting demands of our clients. Not only did we find that the software was suitable for producing paperless management systems, but we also found that the vision of the DSL team is the attainment of a truly paperless office though their software, which has ambitions of becoming a full Enterprise Resource Planning (ERP) system. In real terms, this means that continuous improvement is inherent within the software itself. Features such as Critical Skills Shortage Reports, Overdue Actions Reports and an integral, real-time Training Matrix show that Dolphin Intelligent Software is already several steps ahead of its competition, and pulling away fast.
The software then is a tool to enable the development of paperless management systems. Many software companies that produce "Process Mapping" software imply that process mapping is the solution that you are looking for, rather than just part of the overall solution. They forget to tell you that once you have the software, you still need to develop the process maps, control the documents and control the records. With Dolphin Intelligent Software, this is made incredibly easy as the records are built in, document control is a feature of the software and the process mapping software is infinitely variable and easy to use. Bear in mind, I didn't develop a partnership with DSL because I wanted another partnership. The object of the exercise is to provide cost-effective, real-time and working paperless management systems for our clients.
